The role

The role of the Studio Support Manager/ Coordinator is responsible for delivering a great overall employee experience for their studio. This focuses on all elements that influence the employee experience, including the physical workplace, technology and implementing local policies and processes.

Key Areas of Responsibility

Administration and accounts

  • Manage administrative tasks for your studio.
  • Attend the fortnightly executive meeting for your studio, assisting in the development of an agenda and preparation and distribution of minutes and follow up of action items.
  • Ensure a smooth running of the studio including the appearance of each studio is of high presentation and function (facilities).
  • Maintain the studio seating plan and studio safety warden training.
  • Ensure the hospitality/ client service of the studio is of the best quality including any catering requirements.
  • Monitoring stationery ordering and office supplies ordering when required.
  • Review internal studio processes and procures regularly- agendas, minutes, onboarding, , studio packs and administrative processes.
  • Identify and escalate any studio issues to HUB Support Manager or Studio Chair.
  • Booking travel and organizing other studio activities.
  • Assist Studio Chair to coordinate and organise the operations aspects of the studio. Liaise with Building Management and resolve issues when required.
  • Providing day to day administration support to the Studio where and when the need is required across HUB.
  • Provide Executive Assistant support to Studio Chair when required.
  • Support the studio with support tasks such as the following:
  1. Organising couriers, mail pickup
  2. Processing leave applications
  3. Reception including answering office phone
  4. Maintaining and updating Staff CV’s; and
  5. Reporting studio related OH&S matters
  • Provide administrative assistance as required, including typing, formatting documents, AmEx reconciliation and cab charges.
  • Record all sick leave, annual leave, time in lieu and other leave in the daybook (if required by local studio).
  • Copying, binding, collating and printing as requested (if required by local studio)

People & Culture Support

  • Assist in studio recruitment process- scheduling meetings and interviews.
  • Coordinate the on-boarding of new hires, including employment form completion, IT system access requests, liaising with Regional People & Culture and first day induction.
  • Coordinate & assist P&C with the various P&C processes including scheduling the annual performance and development cycle meetings, employee engagement and adhoc culture, value and diversity initiatives.

Key Deliverables

  • Provide consistent, high-calibre administration support to studio.
  • Maintain collaborative partnership within HUB providing support across the region when and where required.

Skills and Competencies/ Work Experience/Technical Skills

This is a fast paced role where your “can do” attitude will inspire those around you. Tight deadlines don’t faze you and neither do menial tasks required around the studio. You are calm and collected under pressure and you believe there are no road blocks, only solutions!

  • Tertiary qualifications or relevant administration experience.
  • Strong organisational skills.
  • Ability to prioritise tasks and manage time effectively.
  • Collaborative nature and excellent communication skills.
  • InDesign skills a bonus.
