About the Role

We are looking for a document controller to join our hospital project team. As the document controller you will be a key part of the project’s administration, working closely with the project leader and collaborating with package leaders and team members as well as the client, third party consultants and other stakeholders.

Key Responsibilities:

  • Controlling document flows (incoming and outgoing)
  • Checking/verifying documents prior to issue for accuracy and compliance
  • Maintaining project registers as required
  • Assisting project teams with storage and access of project information
  • Assisting with preparation of design reports
  • Assisting with preparation of regular project reporting
  • Assisting with scheduling and closeout of project processes
  • Developing project workflows in collaboration with the project leader, and maintaining workflow implementation
  • Managing internal team processes with focus on revision logs, coordination of sets, and printing of documents
  • Collaborating with other documentation groups (first point of contact)

About You

You are methodical and process driven. You have experience in document or record management and working with many file types. Preferably with experience in the delivery of health projects and the use of BIM processes, Aconex and RIBCX as well as experience with dRofus would be advantageous.

You will be able to demonstrate:

  • Microsoft Office and Aconex power user; knowledge of electronic document management systems such as RIBCX, ProjectWise and SharePoint an advantage
  • Willingness to learn
  • Detail-focused document organising abilities
  • Comfortable working in process-based project delivery
  • High degree of personal organization
  • Able to estimate the time required for tasks and to manage multiple deadlines and prioritise
  • Able to balance competing demands from team members and third parties
  • Comfortable with changes to schedules and/or priorities
  • Able to communicate all issues to the project leader, and to explain processes and requirements to the team
  • Able to use initiative
  • Architectural/engineering background an advantage
